1. Introduction

Welcome to WorkMemoir (“we,” “our,” or “us”) — a private career-evidence system operated by Quantackle (OPC) Pvt Ltd. WorkMemoir helps working professionals capture their day-to-day work (wins, incidents, feedback, lessons, decisions) and turn that private record into review packets, 1:1 agendas, interview answers, and more. This Privacy Policy explains what we collect, how we use it, and the choices you have.

2. Information We Collect

Personal Data: your name, email address, and profile details you give us (such as your role title and review date).
Career Content: the entries you create in your memoir — memos (wins, incidents, feedback, lessons, kudos, decisions) and chapters (roles, projects, education, certifications) — including any skills, metrics, or people you tag in them.
Uploaded Material: resumes and documents you choose to import, voice recordings you make for transcription, and job descriptions you paste for tailoring or gap analysis.
Payment Data: if you make a purchase, payment is processed by our payment provider, Razorpay. We never see or store your full card number.
Contact Messages: what you send us through the contact form (name, email, and message).

3. How We Use Your Information

To create and secure your account.
To operate your memoir — storing, organizing, and letting you search your entries.
To distill entries into structured stories, and to answer questions you ask of your own memoir — only when you ask.
To generate the outputs you request: self-review drafts, 1:1 agendas, gap analyses, interview stories, and tailored resumes.
To process payments and manage your subscription.
To send administrative messages and optional weekly reminder emails — you can turn these off in Settings at any time.
To enforce our terms, conditions, and policies, and to prevent abuse.

4. AI Processing & Your Data

This section explains exactly what happens when WorkMemoir’s AI features touch your content.

Opt-in only

AI features run only when you choose to use them — distillation, review drafting, 1:1 agendas, gap analysis, “Ask your memoir,” resume import, and resume tailoring. Nothing is sent for AI processing automatically in the background.

Transient, purpose-bound processing

When you use an AI feature, the relevant content is processed in real time to produce exactly the output you requested. For example, when you use our resume tailoring tool, your resume and job description are processed in real time to generate tailored suggestions — these inputs are used only to deliver that service to you.

No AI training on your data

Your memoir entries, resumes, job descriptions, and voice recordings are not used to train OpenAI models. They are processed solely to provide the feature you asked for. This is also covered by our AI providers’ API terms, which prohibit training on customer inputs.

Who processes it

OpenAI: AI text generation, voice transcription, and embeddings (semantic search).

What stays with us: the entries and results you choose to keep remain in your private account — that is the point of the product. You can export or delete them at any time (see Sections 6 and 8).

5. Third-Party Services

We share or process data with the following providers, only as described:

OpenAI — AI text generation, transcription, and embeddings (see Section 4).
Razorpay — payment processing (we never store your full card number).
Supabase — database hosting and authentication.
Resend — transactional email (contact replies and optional reminders).
Hostinger — mailbox for contact-form notifications.
Google Analytics — optional usage statistics (cookies).
PostHog — product analytics (usage events; never career content).
Vercel — hosting and content delivery.
Upstash Redis — rate limiting.

We may change our service providers, infrastructure, or AI models from time to time to improve or maintain the Service. The current list is kept up to date in our Subprocessor Registry and on our Security & Privacy page, and material changes will be reflected in this policy.

We may also process your data on these legal bases:

Consent: where you have given specific consent for a specific purpose.
Legitimate Interests: where reasonably necessary to achieve our legitimate business interests.
Performance of a Contract: where processing is needed to fulfill our contract with you.

6. Data Retention & Deletion

Your entries are kept until you delete them or delete your account.
You can export everything at any time from Settings (Markdown or JSON).
You can delete your account from Settings — this removes your data from our active databases.
Residual copies in encrypted backups rotate out within a limited retention window (typically 30 days).

7. Cookie Policy

We use cookies and similar technologies to keep you signed in and to understand aggregate usage (via Google Analytics, if enabled). Details about how you can refuse certain cookies are set out in our Cookie Banner.

8. Your Privacy Rights

In some regions (like the EEA, UK, and California), you have rights under applicable data protection laws, including the right:

To request access and obtain a copy of your personal information.
To request rectification or erasure.
To restrict the processing of your personal information.
To data portability.

Most of these are built in: you can review and change your data in your account settings, export everything, or delete your account at any time — no emails required. For anything else, just contact us.
